Introduction

This section explains what happens after the VRBO connection is established. It covers the following topics:

– Important considerations

– How VRBO reservations will appear

– Payment procedures

 

In 365Villas:

– You can synchronize:

– Rates

– Availability

– Property content

– You can adjust pricing to offset VRBO commissions and card payment fees.

 

In VRBO:

– Instant bookings will be automatically enabled on your VRBO listing.

– You become the merchant of record and must charge guests using the provided credit/debit card details.

– VRBO will issue you a monthly invoice for their commissions as part of their pay-per-booking scheme.

 

VRBO Reservations

All reservations received after the connection is established will look as follows.

The External Confirm Request From VRBO – HomeAway will contain general reservation details, encrypted credit card details, and the cancellation policy.

The reservation details in 365Villas will reflect the information received from VRBO, including payment policies and damage deposit settings in 365Villas.

The 365Villas Grand Total will match the Total Price received from VRBO, with the rest of the information generated by the system based on taxes and services configured for the property, leaving the rental amount.

 

Collecting Payments

Once again, you are required by VRBO to act as the Merchant of record. This means you must charge your guests for their stay using the guest card VRBO provided during the booking. This can be done using an external PDQ machine or an integrated payment gateway on our platform.

 

No Integrated Gateway or Advanced Payments Option on 365Villas?

If there is no integrated gateway or advanced payment option on 365Villas, follow these steps:

1. Access the Manage Payments section of your booking.

2. Click on View Card to use the credit card details displayed on the screen for processing the payment outside the system.

3. Record the collected funds by clicking on Manually Record Payments and Proceed.

4. Enter the payment details in the pop-up and confirm to update the received funds information in the 365Villas booking.

 

Integrated Payment Method and Advanced Payments Option

If you have integrated payment methods and enabled the Advanced Payment Management option, you can process payments through 365Villas without a PDQ machine or accessing your payment gateway dashboard. Follow these steps:

1. Ensure the Advanced Payment Management option is enabled in the Payments area.

2. Access the Manage Payments section of your booking.

3. Click View Card to use the displayed credit card details.

4. Process the payment through 365Villas by clicking Collect and following on-screen instructions.

5. When the payment is successful, the reservation will show the payment confirmation, and the received funds will update automatically.

6. If you automate payments, ensure this option is selected in your settings.

The system will attempt automatic charges based on the payment schedule set in the Policies area.

You can view the Automated Payments waiting to be executed in the Automated Payments Record report and follow their status for any possible errors..

Declined Payments

If automated payments cannot be processed, the payment status on the reservation will change to “!” (payment due). This indicates that the payment due date has passed without receiving funds. In this case, you must follow up with the client to ensure their card has sufficient funds or request payment with a different card using a payment link via email.

The payment icons are visible in the Reservation Manager, Reminders Dashboard, Payment Manager report, Booking report, and Dynamic Report Builder.

Important: Monitor payment execution to ensure all payments are successfully collected.

 

Additional Information

 

Supported currencies

Independently of the 365Villas system currency, the one that will apply to your VRBO account is the one you selected in the VRBO settings page, as those are the only currencies supported by the channel.

If the currency you choose in the VRBO settings does not match the one you have in your 365Villas account, you can use our Multiple Currencies module to set a conversion rate.

 

VRBO same-day bookings

Please note that the VRBO sales channel does not allow same-day bookings. Guests can book stays starting at least the following day.

 

Troubleshooting issues with VRBO

While 365Villas is here to assist you, there may be instances when you need to contact the VRBO support team directly to address listing or account problems. You can find the contact information here.

 

VRBO guest chat

As of now, VRBO does not offer integration with their guest chat feature. You can still use their Dashboard to view and respond to guest messages. Additionally, VRBO and other channels will email a copy of the guest message. Ensure your email settings in 365Villas match those for guest communication to receive these emails in your 365Villas account.
